Fruit Puree Specification Checklist for Industrial Buyers

The supplier can only quote and control what the buyer has actually defined.

Define product identity and use

State the fruit, product form, intended industrial application, destination and any composition constraints that affect the required product.

Define measurable acceptance criteria

List the quality and safety parameters that will determine conformity, together with methods or agreed references where appropriate. Values should come from the buyer's requirement and applicable standards rather than copied supplier brochures.

Include packaging and required records

Specify pack configuration, labelling or identification needs, certificate of analysis expectations, traceability references and any destination documents required for the transaction.

Add change control

State which changes require buyer approval, including formulation, raw material source, process, pack material, test method or production site changes. Version the specification and link the commercial order to that version.

Define the puree before asking suppliers for price

A fruit puree RFQ should describe the product in a way that two factories can interpret consistently. State the fruit, variety where relevant, single-strength or concentrated format, target Brix or soluble-solids basis, sieve or texture expectations, permitted ingredients, preservative requirements, treatment method, pack format and intended industrial use. If the buyer only writes a product name, suppliers may quote technically different materials under the same label.

Separate mandatory parameters from preferences. Mandatory limits should be linked to the buyer's formulation, legal requirements, process compatibility or customer specification. Preferences can cover color range, origin, drum configuration, pallet pattern or other attributes that improve operations without defining product acceptance. This distinction helps suppliers respond accurately and prevents unnecessary rejection of viable options.

Connect every critical specification point to evidence

For each critical characteristic, decide how conformity will be demonstrated. Some items may be shown through the supplier specification sheet, others through a certificate of analysis, microbiological report, allergen statement, process declaration, sample result or pre-shipment test. The buyer should not assume that a value printed in a sales brochure will automatically appear on every production lot.

Define which values are lot-specific and which are general product declarations. Also confirm the method or basis used for measurements when it matters commercially. A numeric limit without an agreed test method can create disputes if buyer and supplier laboratories use different procedures or sample preparation.

Freeze the approved specification and control later changes

Once the sample and commercial offer are approved, keep a controlled version of the specification with a revision date and approval owner. The purchase order should reference that version. If the supplier later changes source fruit, process conditions, formulation, packaging or another parameter that can affect performance, require notification and reassessment before shipment where the change is material.

For recurring business, review complaints, laboratory deviations and production feedback against the approved specification rather than relying on memory. A good specification is not paperwork for its own sake. It is the common operating language between procurement, quality, production, the supplier and the final customer.

Include logistics parameters that affect product usability

The specification package should include the pack format, net weight, palletization, storage conditions, shelf-life basis and any temperature or handling conditions that affect the material. These points may sit outside a laboratory specification but still determine whether the puree can move through the buyer's warehouse and production system without disruption.

For drums or other bulk formats, confirm labeling and lot identification so receiving teams can match physical stock to the certificate of analysis and purchase order. If multiple lots can be loaded in one shipment, define how lot quantities will be reported before arrival.

Use the same checklist again at receiving and supplier review

A specification checklist should not disappear after the purchase order is issued. Use its critical fields when reviewing pre-shipment documents, receiving the goods and investigating complaints. This creates continuity between sourcing and quality control instead of treating supplier approval and incoming inspection as separate processes.

Over several orders, identify which parameters cause the most deviations or production complaints. Those items may deserve tighter limits, better sampling, clearer test methods or a different supplier. The checklist becomes stronger when actual operating experience is used to refine it.

Test whether specification ranges still work in the buyer's formulation

A specification can look acceptable on paper and still produce unstable results in the buyer's application. During supplier approval, test representative material in the actual beverage, dairy, bakery, baby-food or other process where feasible. Record the performance attributes that matter, such as dilution behavior, texture, color contribution, yield or sensory impact, and connect them to the written limits that procurement will control.

If different suppliers meet the same broad specification but perform differently in use, the buyer may need a tighter parameter, a sensory reference or an application-specific acceptance test. This prevents the technical specification from remaining disconnected from the commercial reason the puree is being purchased.
