How to Handle Food Specification Changes After Supplier Approval

Supplier approval is not permanent permission to change the product. Buyers need a clear rule for which changes can be managed internally and which require notification, evidence or reapproval.

Establish the approved baseline

The buyer and supplier should be able to identify the currently approved product specification, sample reference, packaging version and artwork or label version. Without a baseline, change control becomes subjective.

The approved baseline should also identify the production site when site-specific capability or controls matter.

Define change categories before they occur

Examples include ingredient or formulation changes, raw-material source changes, process changes, manufacturing-site changes, packaging substitutions, artwork updates and testing-method changes.

The supplier's food safety system should assess relevant changes, while the commercial agreement should define which changes must also be disclosed to the buyer before implementation.

Set the evidence and reapproval path

Depending on the change, the buyer may need an updated specification, sample, test result, certificate evidence, packaging review or label review before acceptance.

Label and declaration impacts should be considered whenever a change could affect information presented to the destination market.
