What a Food Supplier Needs Before Giving an Accurate Quote
A fast quotation is not automatically a useful quotation. The supplier needs enough controlled information to price the same product, pack, quantity, destination and execution scope the buyer actually intends to purchase.
Define the product the supplier is pricing
Give the supplier the product form, intended application and measurable specification. Where a sample exists, link it to the written specification rather than using the sample alone as the commercial reference.
If key values are still open, mark them as open decisions. Hidden uncertainty often returns later as a price revision, product deviation or lead-time change.
State packaging, volume and timing assumptions
Packaging format, unit size, secondary pack, pallet configuration, order quantity and expected delivery window can materially change the production and logistics scope.
The supplier should know whether the requested quantity is a trial, first commercial order or recurring demand so capacity and planning discussions are not based on the wrong assumption.
Include destination and execution requirements
Destination affects documentation, label review, shipment planning and sometimes the technical brief. State the country, importer requirements, requested Incoterm and any inspection, certificate or release obligations known at RFQ stage.
Where requirements are not yet verified, say so explicitly instead of asking the supplier to price an assumed compliance package.
